How to respond to a negative customer review
Respond to the experience the person describes. A useful reply shows that you are listening.
Be specific and calm
Read the review before answering. Acknowledge the concern without inventing facts or admitting something you have not checked. Explain a concrete next step if you can offer one, and keep the response professional.

Protect private details
Do not publish order records, contact details, health information or private conversations in a reply. For a clinic, avoid confirming whether someone is a patient. Direct sensitive matters to an established business contact channel.
Offer support without conditions
Help should not depend on the reviewer removing a post, changing a rating or leaving a new review. If a refund or remedy is appropriate, handle it independently. Do not offer a benefit in return for a review change.
Report policy violations, not criticism
Use the platform’s reporting process if you have a specific reason to believe content violates its rules. Explain the applicable issue and provide factual evidence where the process allows it. Disagreeing with a low rating is not by itself a policy violation.
Use feedback to improve
